What is WhatsApp Business Web?
WhatsApp Business Web is the browser version of the WhatsApp Business App. It lets a small-business owner sign in to their WhatsApp Business account from a laptop, reply to customer chats with a full keyboard, share catalogue items, and manage labels — without ever picking up the phone. It works exactly like regular WhatsApp Web (QR-code scan from the mobile app) but shows Business-only features like catalogue, quick replies, greeting messages, and away messages.
How to log in to WhatsApp Business Web
You'll need the WhatsApp Business App installed on your phone first — not regular WhatsApp. The Business App is a free download from Google Play or the App Store.
- Open web.whatsapp.com in Chrome, Edge, Firefox, or Safari on your computer.
- On your phone, open the WhatsApp Business App → tap the three-dot menu (Android) or Settings (iPhone) → tap Linked devices.
- Tap Link a device. Your phone camera opens.
- Point the phone at the QR code on your laptop screen. The scan is automatic.
- Your Business inbox loads in the browser. Your phone doesn't need to stay online after the first sync — WhatsApp's multi-device architecture (rolled out in 2021) keeps up to 4 linked devices in sync independently.
WhatsApp Business Web features (what changes on the desktop)
Catalogue and product sharing
Any product you added to your Business profile catalogue on the mobile app is available on Business Web. Click the paperclip → Catalogue → tap the product → send. Customers see the image, price, description, and a direct-order button.
Labels for chat organization
Business Web supports the 5 built-in labels (New customer, New order, Pending payment, Paid, Order complete) plus any custom labels you created. Right-click a chat → Label chat.
Quick replies
Type / in the message box to trigger any quick reply you set up on the mobile Business App. Save 10+ common replies once, use them from the keyboard forever.
Away messages and greeting messages
These are configured in the mobile Business App only (Settings → Business Tools → Away Message / Greeting Message). Once set, they fire automatically for Business Web conversations too.
What Business Web CANNOT do
- No multi-agent access. Only one person can be logged in at once — even with up to 4 linked devices, they're all your devices, not your team's.
- No broadcast lists over 256 recipients. The Business App broadcast limit still applies.
- No API access. No CRM sync, no automations, no chatbots, no analytics.
- No template messages. You can't send re-engagement messages outside the 24-hour customer service window.

This is the biggest confusion for small businesses. The two are completely different products with different pricing, different capabilities, and different setup paths.

WhatsApp Business Web troubleshooting
QR code won't scan
Refresh the browser page to get a new QR (the old one expires in 60 seconds). Make sure your phone camera has focus — clean the lens, hold the phone 20-30 cm from the screen, tap the screen to force autofocus.
"Phone not connected" error
Since multi-device rolled out this is rare, but it happens when your phone hasn't been online for 14+ days. Open the WhatsApp Business App on your phone once, wait for chats to sync, then reload Business Web.
Messages not syncing between phone and web
Open Business App → Settings → Linked Devices. Look at the "last active" timestamp for the browser session. If it's stale, tap Log out and re-link.
"Too many devices linked" error
WhatsApp allows a maximum of 4 linked devices (plus the phone). If you've been linking laptops at cafes, unlink the old ones from the same Linked Devices screen.
Catalogue missing on Business Web but visible on phone
This is usually a caching issue. Press Ctrl+Shift+R (Cmd+Shift+R on Mac) to hard-refresh Business Web.
Getting logged out every day
Business Web requires the browser to keep the linked-devices token in cookies/localStorage. If you use incognito, or your browser clears cookies on close, you'll re-scan every session. Fix by whitelisting web.whatsapp.com in your cookie settings.
When to move off WhatsApp Business Web
WhatsApp Business Web is designed for a solo owner running a small local business. It stops making sense the moment you have any of these signals:
- Team growing: the moment you hire your first customer-support person, one shared login stops working. Their messages read as yours; you can't route chats; there's no audit trail.
- Chat volume growing: above roughly 50 chats a day, keeping labels tidy and remembering context between conversations breaks down. You need a real CRM inbox.
- Marketing intent: the moment you want to send a promotional broadcast to more than 256 people, or send a message outside the 24-hour reply window, Business Web can't do it. You need approved templates on the API.
