The 4 template categories (Meta rules)
Every WhatsApp marketing message is one of four categories. Category determines Meta's per-conversation cost and approval strictness.
1. Marketing
Promotional offers, product launches, sales, upsells. Highest per-conversation cost (~$0.0125 US, ₹0.86 India). Strictest approval — templates take 1-24 hours, sometimes rejected for tone.
2. Utility
Order confirmations, appointment reminders, shipping updates, payment receipts. Low cost (~$0.004 US, ₹0.13 India). Fast approval — usually under an hour. High engagement because users expect them.
3. Authentication
OTPs and login codes only. Cheapest (~$0.002 US, ₹0.11 India). Auto-approved.
4. Service
Customer-initiated conversations you're responding to within 24 hours. Free for first 1,000/month per number, then charged as Utility.
The opt-in growth playbook
You cannot broadcast to non-opt-in contacts. Meta will yellow-rate you within 500 messages, then red-rate within 2,000. Ways to grow the opt-in list, ranked by cost-per-subscriber:
- QR code on physical product / packaging — cheapest, highest-intent subscribers
- Checkout opt-in checkbox — "Send me order updates + offers on WhatsApp"
- Meta Ads with "Send WhatsApp" objective — Meta prompts opt-in before chat starts
- Instagram bio + Facebook page CTA button — deep-link to your business number
- Email → WhatsApp migration offer — "Get faster updates on WhatsApp"
Campaign structures that convert
Product launch sequence
D-14 announcement + D-7 preview + D-3 reminder + D-day launch + D+1 flash offer + D+3 last-chance. Each drop uses a different template. Total: 6 touches, 4-6% conversion at end.
Cart abandonment recovery
Cart left → wait 60 min → send Marketing template with items + one-tap complete link + optional 5-10% code. Industry recovery rate: 18-25%.
Reactivation / win-back
Customer inactive 60 days → personalized "we miss you" with favorite category + 15-20% code. Reactivation rate: 35-50%.
Post-purchase upsell
Within 24 hours of purchase → Utility "order confirmed" + cross-sell offer in same message. Cross-sell take-rate: 8-15%.
Loyalty / VIP-only preview
Top 100 customers → 24-hour early access to a sale before public. Feels exclusive, converts at 3x public rate.
ROI benchmarks (real B2C data)
- Cost per delivered message: ₹0.86 (Marketing) — 10K broadcast = ₹8,600 + platform fee
- Open rate: 60-75% (vs email 18-25%)
- CTR: 15-25% (vs email 2-4%)
- Conversion: 3-8% for promotional, 15-25% for cart-recovery
- Cost per acquired customer: ~1/4 of email + SMS baseline
- List growth rate: healthy programs grow 8-15%/month organically
Tools — what to look for
You need the WhatsApp Business API (not the free Business App — 256-broadcast cap). Get it through a Business Solution Provider (BSP). Non-negotiable features:
- Meta-approved template management (submit, track, reuse)
- Broadcast tool with list segmentation and scheduled sends
- Delivery / read / click analytics per campaign
- CRM integration (sync opt-ins from checkout, ERP, or database)
- Quality-rating dashboard (know before Meta downgrades you)
- Transparent pricing — Meta fees passed through at cost, not marked up
See our BSP comparison for a side-by-side.
Compliance essentials
- Every broadcast ends with "Reply STOP to unsubscribe"
- Opt-in is single-tap explicit consent, timestamped, IP-logged
- Data region-appropriate: EU subscribers on EU servers, India on India
- You are the publisher — you own the compliance risk, not the BSP
- India: DPDP-compliant consent capture. GCC: PDPL alignment.
The single biggest mistake to avoid
Broadcasting to non-opt-in numbers. Meta detects this within 500 messages via block-rate spike. Once yellow-rated, you're capped at 1,000 messages/day and your campaign is dead. Rebuild the list properly — buying lists always ends this way.
